Xplor President talks to Crawford Technologies President, Ernie Crawford

Interviewed by Skip Henk, EDP, President and CEO of Xplor International

I have had the pleasure of watching Crawford Technologies over the years becoming a leading provider of customer communications solutions. Their latest solution, SmartSetup, was recognized at the 2023 Xplor CCM Summit with the Technology of the Year award.

Founded in 1995, Crawford Technologies has grown to become a renowned provider of solutions for enterprise communications processing (ECP). Ernie Crawford, Founder, President & CEO of Crawford Technologies, shares his thoughts about ECP and the need to process customer communications for smartphones and tablets.

Skip – What is enterprise communications processing and how is it different than customer communication management?

Ernie – Enterprise communications processing (ECP) is a comprehensive approach to giving enterprises the tools they need to manage and deliver all forms of business communications to their customers, across various channels like email, print, mobile apps and more. It streamlines and automates the entire communication workflow, from composition through post-composition, postal automation, job combining and assembly to delivery and tracking. 

ECP has become very popular because most organizations have multiple CCM platforms and composition software, and it is very costly and inefficient to get them all to provide multi-channel and omni-channel capabilities that are consistent with each other—if that is even possible. It is highly desirable to have a single point of control and that is where ECP comes in.

ECP helps organizations improve their customer experience with consistent on-target, timely communications through their customers’ preferred channels.  At the same time, we see organizations benefit from reduced operational costs by eliminating redundant and manual tasks. This translates into tremendous cost savings that enable the money to be used to improve other areas of the business, such as accessibility.

On the other hand, CCM focuses on the composition of customer communications, involving tasks like planning communication strategies, designing compelling content and adhering to branding guidelines. It’s essentially the creative hub where the communication materials take shape, addressing the customer’s journey and information needs.

Skip – What’s the challenge with using PDFs for electronic delivery?

Ernie – PDFs were created in the 1990s to provide a standard format for sharing documents electronically between computer systems. Today, nearly 80% of consumers prefer reading emails, newsletters and other forms of corporate communications on their smartphones or tablets. Combined with 92% of internet users accessing the internet using a mobile phone, that means there has been a dramatic shift from consumers using computers to smartphones to read news, check email, respond to text messages, communicate on social media, access corporate portals, shop for goods and services and browse the web. This shift, or mobile revolution, makes it a requirement for organizations to make sure that all their customer-facing communications are optimized for mobile devices. As an ECP company, Crawford Technologies ensures that we provide the tools and capabilities for organizations to make that happen. The beauty of doing that in ECP is that we can be made aware of when a user is on a mobile device and provide that format dynamically.

Skip – OK, what format should our readers be using for electronic customer communications?

Ernie – Composing customer communications and formatting them into AFP or PDF is still a regulatory requirement for many organizations in order to match the printed documents. They are a document of record for record retention. Therefore, AFP and PDF are not going away.

We have embraced the concept of processing print files and transforming them into responsive HTML for mobile device communications, without altering the original document in any way.  A good example is a customer of ours which is a very large financial institution. Our software converts their print-ready transactional customer communication documents into responsive HTML for mobile devices. It is done in real time when a customer requests to view their statement from their smartphone.

Skip – Why not compose customer communications in HTML?

Ernie – You could invest in composing customer communications in an HTML format, but that would result in maintaining and storing a print and HTML version of the communication. This approach will increase your labor, storage and operational costs when corporate mandates are to reduce costs and be more efficient. For example, one of our customers estimated that it would cost them in excess of $20 million to generate, maintain and store two communications with the same data.

Skip – Good point.  Any closing thoughts for our readers?

Ernie – Enterprise communications processing is a versatile technology that can be used to improve customer communications in a variety of ways. We provide some of the best, cutting-edge technologies in the industry. If you are looking for a way to streamline your communication processes, deliver communications for smartphones and tablets and reduce costs, then our ECP solutions are a good option to consider.

The future of electronic customer communications is undeniably mobile. Organizations must recognize this shift in consumer behavior and adapt their strategies accordingly. Embracing responsive HTML for electronic communications is not just an option—it’s a necessity for staying relevant in a rapidly changing digital landscape. It’s time for organizations to leave behind the constraints of PDFs, embrace responsive HTML and usher in a new era of mobile customer communications.

  • The winner of the 2023 Xplor Application of the Year is Solimar Systems, Inc. & Mayo Clinic. Mayo Clinic dynamically creates personalized patient booklets, in both print and electronic formats, delivering critical information that improves the patient experience and the quality of time with nurses.

    The Automated workflow eliminated the need for manual booklet kitting, packaging and mailing allowing nurses more time to spend with patients. The system-generated packets ensure current material versioning and customization for each patient. The new automated workflow freed up many hours and eliminated pre-printed materials.

  • An Honorable Mention is being awarded to Papyrus Software for its innovative Papyrus DocuFlow solution for rapid digitization of forms, documents and processes. The Papyrus DocuFlow makes it easy to migrate and design forms for digital and replaces emails and manual processes with automated workflows and case management. The DocuFlow wizard automatically converts PDF interactive forms into Web forms, accelerating digital transformation and enabling businesses to offer products and services to any customer on any device to complete and digitally sign.

Technology of the Year Award:

The Technology of the Year Award honors an individual, company or organization that has conceived and developed an original concept leading to a significant advancement in the industry.  This can be a new program, product, or technology that notably enhances the capabilities of document and communication systems. This award is open to members and non-members alike.

This year, Xplor will present two honorable mentions, in addition to the winner of the award.

These capabilities were a groundbreaking industry first within the CCM industry and are available in Messagepoint, Rationalizer, and an API-based content intelligence service known as Semantex.

  • A second Honorable Mention is being awarded to Racami for “Pay+,” which recognizes each person’s document within a print job and stores those documents securely and executes workflows that send communications based on their preferences, payment history, demographics, and lifestyle. Initial notifications are via email to let people know that their bills are ready to pay. Additional communications workflows are prebuilt and triggered at different points in the payment lifecycle.

An Interview with Harvey Gross on upcoming Customer Communications Virtual Summit

Skip: What is the Customer Communications Virtual Summit and why should you attend?

Harvey: Another good question. While many of the industry events you were planning to attend this spring and summer have either been cancelled or postponed, it doesn’t mean that you have to miss out on gaining the insights from recognized industry experts, customers and enterprise leaders about the technologies and best practices that can help organizations grow and thrive. Xplor Announces 2020 Application and Technology of the Year Award Winners

Recipients to be recognized at XPLOR20 in St. Pete Beach on April 14th

Lutz, FL — March 11, 2020 – Xplor International, the worldwide electronic document systems association, today announced the recipients of its 2020 Technology and Application of the Year Awards. The awards will be presented at a ceremony Tuesday, April 14, during the XPLOR20 event in St. Petersburg, Florida.

Application of the Year Award:

The Application of the Year Award is presented to an individual, company or organization to recognize outstanding achievement in the imaginative application of current technology and/or unique implementation of existing document and communication systems.

Xplor will award two honorable mentions in addition to the 2020 winner.

  • The winner of the 2020 Xplor Application of the Year Award is NEPS, a Taylor Company, for Empowering Customers with Simplified Self-Service Solutions by implementing their award winning NSite Platform with the Editor self-service UI and utilizing their Clear Communications practice, driven by the LUNATM  The Simplified Self-Service Solutions empowered their customers’ non-technical employees to create and manage their customer communications and maintain ownership of their business. The Clear analysis and transformation services drove an improved look and feel, the use of plain language and significantly reduced the number of working templates, optimizing internal delivery from months to weeks while converting a large percentage of customer applications from paper to digital. 
  • An Honorable Mention is being awarded to AFP Habitat and BlueRush for their implementation of IndiVideo platform. AFP Habitat observed a 65% increase in account openings and contributions from viewers who watched the IndiVideo versus customers that did not watch. 70% of the viewers watched 100% of the video, fully engaging with the experience and 90% of consumers reported increased satisfaction and better understanding of their pension statement.
  • A second Honorable Mention is being awarded to Content Critical Solutions, Inc. and Crawford Technologies, Inc. for their implementation and integration of PRO Conductor. The implementation has facilitated total control over production at CCS’s three plants enabling major efficiency improvements reducing costs significantly. The improved document integrity has allowed CCS to meet its Six Sigma standards, and a 200% reduction in their key metric job rejection rate.

Technology of the Year Award:

The Technology of the Year Award honors an individual, company or organization that has conceived and developed an original concept leading to a significant advancement in the industry.  This can be a new program, product or technology that notably enhances the capabilities of document and communication systems.

Like the Application of the Year award, Xplor will present two honorable mentions, in addition to the winner of the award.

  • The winner of the 2020 Xplor Technology of the Year is being awarded to Crawford Technologies for their GoMobile product. Launched in 2019 GoMobile creates and delivers customer communications in an HTML5 format from any PDF file, creating responsive, mobile-ready communications without requiring changes to upstream document composition or archiving workflows.
  • An Honorable Mention is being awarded to CommonLook for their CommonLook PDF, a premier tool for testing, remediation and certification of documents for accessibility compliance whose benefits include validation against Section 508, WCAG 2.0, PDF/UA 1.0 and HHS standards as well as a host of other features.
  • A second Honorable Mention is being awarded to Compart for their DocBridge Impress product. DocBridge Impress reduces costs and time, allowing for a steady distribution across all channels, leading to an uninterrupted user experience. The platform allows seamless integration of new and emerging channels that can be scaled to any size and allows future digital channels to be integrated as needed.
